Experience: Average tenure at each prior employer of three to four years.

Summary of Position:  This dual role will support the Pogue Construction Fort Worth Office and Estimating Team.  As the Office Coordinator, this individual is responsible for handling front desk reception and all office administration duties including greeting and helping clients/guests and maintaining an organized and clean workspace for office staff. As an Estimating Coordinator, this individual is responsible for providing knowledge, skills, and experience to assist the Estimating department. They will produce and gather project related information, track, file and communicate that information to the Estimating Team. They must ensure that all information is up‐to‐date, consistent, and organized in an orderly fashion for all others on the project team. The Estimating Coordinator must promote a positive atmosphere, support proactive and effective communication, facilitate problem-solving, and minimize/resolve issues. They will also assist contractors to gather proposals for estimating, and keep the order of all construction documents for construction projects.

Primary Responsibilities:

  • Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
  • Greet and welcome guests
  • Answer all incoming calls, redirect calls & keep messages
  • Receive letters, packages etc. and distribute them
  • Prepare outgoing mail by drafting correspondence, securing parcels etc.
  • Monitor office supplies and place orders when necessary
  • Keep updated records and files
  • Set up Electronic Project Files for all new projects
  • Acquire and distribute all project documents
  • Post current projects on ISqFt
  • Coordinate Bluebook/ISqFt Industry activities
  • Maintain current Subcontractor and Call Lists
  • Prep for Bid Day by distributing quotes
  • Collect and organize bid forms and related forms on Bid Day
  • Provide backup support for RFP Proposal preparation

  • Understanding of Web-based document processes
  • AIA contract software experience (desired)
  • Internal and external customer service
  • Telephone invitations to Sub/Supplier Bidders
  • Other duties as assigned
